LEVEL 4 TECHNICAL EVENTS MANAGEMENT
Communication is one of the most important things required to run a show of this size as it allows you to solve problems. The main way I communicated with everyone involved in the show was through Microsoft teams. One of the main advantages to using teams is that it lets you know when someone has seen your message. You can also create groups with people in to allow you to send out a message to multiple people at once.
Another feature of teams allows you to specify whether the message requires any urgency by highlighting important messages in red and making urgent messages red and sending out a notification once every 2 minutes for 20 minutes. This allows you to make it clear to people how important your message is. An example of an ordinary message I have sent is me messaging the crew telling them what their call would be for the next day, an important message was me reminding people who haven’t seen the message to be in that day. An urgent message would be asking people where they are when they haven’t turned up. At one point I was having to call people, eventually the matter was delt with by Matt Cook.
One of the main people I communicated with was Stephen Dutton, the director. Stephen would mainly message me about the schedule and give feedback and request to be in at specific times. I also messaged him asking about things like props or costumes so that I could inform the right people about relevant information. Stephen also posted the recorded run-throughs into the show channel for everyone to access.
The other people I messaged was Matt Cook, he helped the crew do their job roles when I was busy. He also took notes during the run-throughs and would pass them on to me to manage with the crew.
Another person I messaged was the DSM Cameron John as he was the one in contact with the cast so if I needed to tell the cast anything I would message Cameron and if the cast wanted to let me know something then the cast would message Cameron to inform me of something. An example of this is that on Thursday 3 of them were unable to make it into the college due to the bad weather and then I had to ask Cameron to tell the cast not to come in because the college was closed.
Another aspect of communicating is talking to others, for example, I gave a Safety Briefing to the cast which explains what is safe to do and what is dangerous, while trying to make sure that the cast understand.
